1. What do we deliver?
Medical Logistic Solutions makes over 3,000 medical deliveries every day!
Laboratory Specimens
Pharmaceuticals
Blood
Medical Supplies
Confidential Patient Records
Inter-Office Mail
X-Rays
What may be even MORE important is… What we DO NOT deliver:
Auto Parts
Lost Luggage
Legal Filings
Banking Documents
Real Estate Documents
Flowers
Cab Fare Passengers
Other non-medical packages
By staying focused on medical, our customers have the confidence of knowing that their patients’ health care is not being delayed so that a piece of lost luggage can be delivered first simply due to a contract driver’s discretion. Our drivers will not have greasy fingers from handling auto parts. And a STAT lab specimen will not be on-board with a cab-fare paying passenger.
2. What are our hours of operation?
We are available 24-hours/day, 7-days/week, 365-days/year via one toll-free phone number, 1-800-888-RUSH.
3. Is Medical Logistics Solutions a qualified Minority-Owned Business, Service-Disabled Veteran-Owned Small Business, Veteran Owned Business, business with an 8(A) Designation, or Woman-Owned Business?
Medical Logistic Solutions, Inc. is a 100% Service-Disabled Veteran-Owned Small Business (SDVOSB). Approximately 20% of our regular corporate expenditures go to either woman-owned (15-18%) or small businesses.
4. What makes us different from our key competitors?
The greatest factors that make Medical Logistic Solutions, Inc. your SINGLE SOURCE for NATIONWIDE Medical Courier Services are:
As a medical specific courier, we ONLY provide courier services for medically related items. There is never the chance for your patients’ specimens to be transported with auto parts or for a lost luggage delivery to take precedence over your specimen STAT! And since our drivers are trained upon hire and annually, they are highly qualified to handle all of your diagnostic specimens and other medically related items.
We offer NATIONAL COVERAGE. We can provide complete medical courier services to any customer (except CA, IL and NY) with a contract size of $5,000/month or more per metropolitan area (to include approximately a 100 mile radius). Please allow us 30-days of notification in order to ramp up any area that we currently do not service. We can ramp up 2-3 new area simultaneously.
Our IT services/network allows you to monitor all aspects of your account with a simple login to our web site. You can place will-call or STAT orders, monitor real-time information on STAT orders and view data on all your orders.
The centralized dispatch service means that we are available 24-hours/day via one toll free phone number, 1-800-888-RUSH. This service allows you to place an order with a real person at any time of the day — not leave a message with an answering service.
Systematic consistency protocols in all areas means you don’t have to worry about different processes in different area.
We can include all customer business units or divisions on a single invoice.
5. Who’s our most worthy competitor?
In-House Couriers.
National laboratories and hospital networks maintain a staff of in-house couriers in an effort to maintain control over the quality of service to their patients. From controlling the scheduling and appearance of drivers to order tracking, quality control maintenance is the goal.
Medical Logistic Solutions, Inc. understands the issues that make having reliable, well-trained, professionally attired drivers appealing. We also understand the need to maintain control and flexibility over STAT, Will-Call and Routine/Scheduled deliveries, including the placing of the orders and tracking them.
Unfortunately all of this control comes at a cost, including some often overlooked factors such as the strain on Human Resources and lab managers, the cost of vehicles and insurance, and other legal liability factors that all add up. As such, we have developed our process so that all of these requirements are EXCEEDED! We can offer our specialized services at a LOWER COST and with LESS LIABILITY than can be maintained with an in-house courier service. Providing this service is our core competency, not a lab manager’s.
6. What kind of reports can we provide?
We have the ability to customize any report you need; the level of detail is up to you. You also have the access to view reports in our web order entry system. You can perform a search on any of the following criteria: Order number, any date range, the pick-up &/or delivery location, service type, reference, the person who ordered deliveries, the person who signed for orders, and the Waybill number.
We can also simplify your lengthy invoices with one entry per day for all scheduled deliveries listing out details only for the STAT deliveries.
We can also provide reports on the on-time STAT delivery rate, Monthly STAT charges, reported quality issues, among others.
7. What geographic limitations do we have?
We can provide complete medical courier services to any customer (except CA, IL and NY) with a contract size of $5,000/month or more per metropolitan area (to include approximately a 100 mile radius). Please allow us 30-days of notification in order to ramp up any area that we currently do not service. We can ramp up 2-3 new area simultaneously.
8. Does Medical Logistics Solutions utilize subcontractors?
We do not utilize subcontractors. All of our drivers are employees of Medical Logistic Solutions, Inc.
9. Do we provide electronic tracking mechanism to track pick up and drop off of each specimen or container?
We utilize courier specific software that has a web based tracking system that you would be able to monitor at your convenience with a simple log-in to our web site any time of the day (see Appendix: Presentation of Introduction to Web Order Entry).
Our drivers carry handheld units that notify the web based tracking & order placement system of the exact time at which a specimen is collected and again when it is delivered, along with signer’s information. This information is immediately available for you to view by simply logging into your account. Where wireless data coverage is unavailable, this information is communicated verbally and is posted by our dispatchers with a possible time delay of 60 minutes, depending on how rural of an area the driver is in. This service will be available for scheduled route deliveries within 30-days of initiation of service if necessary.
This is all in addition to the Daily Log Sheets that our drivers carry and the Bill of Lading forms used for STAT orders.
Also, via our web site, you would have access to information pertaining to your account. This would be a basis to monitor any quality metrics that you would like to regularly track. Included in this proposal is a brief overview of the functionality of this service and illustrates how truly simple it is to use.
Should you have the need for bar code scanning, we can offer this service as well for an additional fee once the needs are assessed.
10. What are our after-hours definition and surcharge?
Except where specifically stated in the attached current UTSW route sheet, all rates indicated in this proposal are for deliveries Monday through Friday 7:00 a.m. - 7:00 p.m. Fees for Saturdays, Sundays, holidays and time outside the above mentioned times will be billed at an “After Hours” rate of 1.8x base rates.
11. Does Medical Logistics Solutions have a fuel cost adjustment calculation or fuel surcharge?
Rates shall be subject to a temporary fuel surcharge from time to time in the event that fuel rates increase to or over the base threshold of $3.25 per gallon for regular unleaded. The temporary fuel surcharge shall be equal to 2% at the threshold and additional 2% for each $.10/gallon over the threshold.
12. Do we have a contingency plan in the event of a disaster or inclement weather?
Emergency Procedures — Our size has many advantages. We currently employ 100+ drivers and handle over 3,000 deliveries per day. This allows us to economically retain a pool of back up drivers and (cross-train) for those days when drivers are out or the weather is bad giving us a certain “depth” that smaller competitors will not have. Per our Employee Handbook, “Drivers should expect to have deliveries and pick ups in bad weather. As a medical driver, all deliveries still need to be made in order not to jeopardize patient health. If roads are closed by the department of transportation then we make every opportunity to find an alternate route in order to complete our deliveries. If your deliveries are not completed prior to road closure, your first priority is to complete the delivery immediately after roads are opened.”
